Preferred Requirements: – Proven work experience as a receptionist, front office representative or similar role – Knowledge of Microsoft Office Suite – Practical experience with office equipment (e.g. faxes and printers) – Professional attitude and demeanor – Solid written and verbal communication skill – Ability to be resourceful and proactive when problems arise

Main work activities: – Receive and direct telephone calls and relay conversation and relevant messages to others while maintaining accuracy, clarity and confidentiality. – Make primary contact and establish communication with clients, visitors and people coming and going from the office on a daily basis. – Function of recipient of official documents and mail addressed to the office. – Ensure reception is tidy and presentable, with all necessary stationery and materials (eg pens, forms and brochures) – Performs basic administrative tasks and may require computer and data entry skills.

– Order and maintain office supplies and equipment, verify receipts, store items, deliver supplies to workstations. – Ensuring comfort and looking after the needs of clients, visitors and people in the office. – Update calendars and schedule meeting – Maintain office security by following security procedures and controlling access through reception (monitoring diary, issuing visitor badges) – Receive and store relevant client information and ensure validity, completeness, accuracy and confidentiality of records. – Able to contribute positively as part of a team, assisting with various tasks as needed.
